Describe the goods

Explain what the goods are, how they are used and whether they need special handling. Include a technical sheet or photographs when available.

Measure the packaging

Measure the final packaging, including pallets, protection and protrusions. Group packages with different dimensions separately.

Define the route and dates

State where pickup and delivery will take place. Distinguish the cargo-ready date from the date you need to receive it.

Record the details you already have. Identify which are confirmed and which are estimates; we can help you review what is missing.

Open the worksheet in Excel, Numbers or your preferred spreadsheet app.

  • Commercial description of the goods and intended use.
  • Origin city, country and address or terminal.
  • Destination city, country and address or terminal.
  • Number of pieces and packaging type.
  • Outer length, width and height of each packed piece.
  • Gross weight per piece and total weight.
  • Whether the cargo is stackable or needs special handling.
  • Cargo-ready date and target delivery date.
  • Commercial value and terms agreed with the supplier.
  • Available commercial information, packing list and technical sheets.
  • Origin and destination contacts, working hours and access conditions.
  • Services needed and services already booked.

Calculate your cargo volume and weight.

Group packages with the same dimensions and weight in one row. Add another row for each type of box, pallet or piece. Always measure the outer packaging.

Use these definitions to prepare your enquiry. Applicable documents, terms and conditions are reviewed for each operation.

FCL

Full container load. A container is booked for the operation; selection depends on the cargo and availability.

LCL

Less than container load. Several shipments share container space and go through consolidation and separation processes.

CBM / m³

Cubic metres. A measure of the cargo’s outer volume. It does not by itself equal chargeable weight.

AWB

Air waybill. A transport document associated with an air shipment; its details must match the operation.

B/L

Bill of lading. A document associated with ocean transport. The type of issue and its instructions are reviewed for each operation.

Incoterm

A term agreed between buyer and seller to define aspects of delivery, costs and responsibilities. Share the agreed term, location and version when reviewing the logistics scope.

Gross weight

Weight of the goods including packaging. State whether pallets and protective materials are included.

Packing list

A list of packages and their contents. It helps connect quantities, weights and dimensions with the shipment’s goods.

What to check in a quote.

Compare proposals for the same cargo, route and services. Review freight, origin procedures, delivery, storage and charges awaiting confirmation. Ask how long the offer is valid and which services need separate arrangements.
